Executive Assistant / Board Liaison
Department: Administration
Reports To: Chief Executive Officer
Rate of Pay: $55,000 – $70,000
SUMMARY
The Executive Assistant / Board Liaison is responsible for providing high-level administrative support to our executive team and serving as a liaison between the executive team and CARTA’s board of directors
ESSENTIAL DUTIES AND RESPONSIBILITIES
Other duties may be assigned that are in keeping with the goals and objectives of CARTA.
- Serve as the primary point of contact for the executive team, managing their calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and distribute agendas, memos, and other materials for executive meetings.
- Attend board meetings, record minutes, and ensure follow-up on action items.
- Act as a liaison between the executive team and the board of directors, facilitating communication and coordination.
- Prepare and distribute board meeting materials, including agendas, reports, and presentations.
- Coordinate logistics for board meetings, including attendance, catering and technology setup.
- Maintain accurate and up-to-date records of board activities, resolutions, and decisions.
- Assist with special projects and initiatives as assigned by the executive team.
- Handle confidential information with discretion and professionalism.
EDUCATION AND/OR EXPERIENCE
- Bachelor’s degree in business administration, management, or related field preferred.
- Experience as an executive assistant or similar role, preferably supporting C-suite executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, including the ability to draft professional correspondence and reports.
- Proficiency in Microsoft Office Suite.
- Flexibility and adaptability to changing priorities and responsibilities.
- Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
